Access 2013 Essentials

This workshop is designed to teach you a deeper understanding of Access 2013 in a practical way. The participants will learn how to use the basic features of Access to help them better manage a database. This workshop incorporates a hands-on approach to learning. They will get a chance to practice some of the advance features right on a computer.

This workshop is meant to provide a safe learning environment where they can practice and learn Access 2013 Essentials functions without worrying about making mistakes. Access 2013 features a new framework that is designed for one purpose―enable users to create data-centric web applications. Taking the time to learn the basic features of Access 2013 will increase their knowledge on how databases work and make creating and managing an Access 2013 database easier for everyone.

Introduction : Getting Started

Welcome to the Microsoft Access 2013 Essentials workshop. Access is the world’s premier database software. You can use Access to create and edit databases -- just download a ready-made database template and start typing. It’s that easy. You can create a database of contacts, expenses, household and/or business inventory. In other words, if you have data, you can create a database of that data using Access.

Module 1 : Opening and Closing Access

Welcome to Access. In this module, you’ll learn how to open Access. You’ll learn about opening files, including from the Recent list. You’ll also gain an understanding of security warnings when working with databases. We’ll take a look at the Access desktop interface, including looking at the Ribbon and the Status bar. You’ll also learn about your Microsoft account. Finally, we’ll look at the difference between closing files and closing Access.

Module 2 : An Introduction to Databases

Access is a relational database. A relational database is a collection of data items organized as a set of tables. In this module, you’ll get a chance to familiarize yourself with the basic components of the database. First, we’ll look at some common database terms. You’ll also take a closer look at the Navigation pane. We’ll introduce tables, table relationships, queries, forms, and reports. Finally, you’ll learn how to close database objects in Access.

Module 3 : Sharing Data Using Apps

Apps are a new type of database in Access 2013 that you can easily build and share with others in a web browser. This module will explain how to create a new app with a template. You’ll also use a table template to build your app. Then, you’ll learn how to launch your app and enter data. We’ll take a closer look at the app layout. Finally, you’ll learn how to upload your changes.

Module 4 : Working in Your App

Now that you’ve launched your app, let’s take a closer look at it. We’ll look at how to use the Search Box and the Action Bar. You’ll also learn about automatically generated controls. Next we’ll look at viewing related items and using AutoComplete to look up a related item. Finally, we’ll look at grouping and summarizing data.

Module 5 : An Introduction to Desktop Databases

In this module, we’ll switch back to the desktop database. You’ll learn how to open a table in Datasheet view. You’ll learn about Keys, Data Types, and Fields. We’ll also look at searching for records. Finally, you’ll learn how to delete a record.

Module 6 : Performing Basic Table Tasks

This module focuses on tables. You’ll learn how to enter and edit data in the Datasheet view of a table. Next, we’ll look at using the clipboard to cut, copy, and paste data to and from different fields. We’ll also look at how to format text in the table and find and replace data in your tables. Finally, you’ll learn about saving your table.

Module 7 : Working with Fields

Now we’ll start getting more into database design. First, we’ll look at adding a field by entering data. Then we’ll look at adding a specific type of field. You’ll learn how to change the field name, caption, or description for the field and how to change the field format. Finally, we’ll look at deleting a field.

Module 8 : Working with Table Relationships

This module will teach students about the different types of relationships, how to view relationships, and how to edit relationships. Students will also learn about referential integrity and how to establish it.

Module 9 : An Introduction to Queries, Forms, and Reports

This module introduces you to some of the other objects in Access. You’ll learn about the types of queries and learn to create a query with the Query Wizard. Next we’ll look at forms and form views. Finally, we’ll take a look at reports in Access.

Module 10 : Protecting Your Data

In order to protect the hard work of designing your database and collecting the data, you should plan regular backups. This module talks about guidelines and tips for planning backups as well as how to back up a database. You’ll also learn how to restore a whole database, as well as individual objects.
