Outlook 2013 Expert

Your participants will learn how to use the advanced features of Outlook 2013. This workshop is designed to provide an in-depth understanding of Outlook 2013. Participants will be shown a practical way of learning with a hands-on and customizable approach. They will get a chance to experience some of the new features that are offered in Outlook 2013.

Outlook 2013 helps you manage your busy life through its calendar and social connectors. With Outlook 2013 you are given a sleeker more efficient way to organize and communicate. With a new and improved user interface and a more powerful search tool your participants will increase their productivity as they will be able to manage their information more efficiently!

Introduction : Getting Started

Welcome to the Outlook 2013 Expert workshop. Outlook includes some powerful communication tools. This workshop will help you get not only your Inbox in shape, but your contacts, tasks, calendars, and notes as well. Prepare yourself to put your communication tools into high gear!

Module 1 : Working with the Outlook Environment

We’ll start our Expert-level Outlook journey by learning about some of the options for customizing the outlook environment. You’ll learn about all of the Outlook Options dialog box tabs. You’ll also learn how to use the People Pane. Finally, we’ll look at customizing the Ribbon and the Quick Access Toolbar.

Module 2 : Working with Quick Steps

Quick steps allow you to accomplish in one click common tasks with multiple steps. In this module, you’ll learn how to create and perform a quick step. You’ll also learn how to edit, duplicate, or delete a quick step. Finally, you’ll learn how to reset a quick step to its default settings.

Module 3 : Working with Rules

In this module, you’ll learn all about rules. First, we’ll discuss the use of rules and the types of conditions you can use to create your rules. Then, you’ll learn how to create a basic rule. Finally, we’ll look at creating a custom rule.

Module 4 : Working with Messages

This module introduces some expert-level message tools. First, you’ll learn how to resend a message. You’ll also learn how to recall a message. Next, we’ll look at attaching an Outlook item – a little different than attaching a file. You’ll also learn how to insert a hyperlink into a message. Finally, we’ll look at saving a message in another format.

Module 5 : Manipulating Message Properties and Options

This module will show you some great ways to control your messages. You’ll learn about the BCC field, which allows you to send a copy of a message to a recipient without the other recipients being able to see or reply to that email account. You’ll learn about specifying sending accounts and sent items folders. This module also explains how to set delivery options and permissions. Finally, we’ll take a closer look at the Message Properties dialog box.

Module 6 : Formatting Messages

In this module, you’ll learn how to use the Paste Special command. We’ll also look at formatting graphics, so that you can give your pictures a special look. This module explains how to insert shapes, SmartArt, tables and charts to give your messages that special impact you need to attract attention.

Module 7 : Managing Automatic Content

Outlook includes several ways to automatically manage different tasks. This module explains how to control your signatures. You can have a different signature for different email accounts, as well as different signatures for both new messages and replies/forwards. You’ll also learn how to manage stationery, where you can control the fonts of your new messages and your replies and forwards. Finally, we’ll discuss how to set automatic reply and forward options to control how Outlook responds when you hit the reply or forward button for a message.

Module 8 : Working with the Calendar, Appointments, and Meetings

This module helps you learn more techniques for working with your Outlook calendar. You’ll learn how to print the details for a single appointment. You’ll also learn how to forward an appointment. The Scheduling Assistant can help you find a good time when inviting multiple people to a meeting. You’ll learn about it in this module, as well as how to cancel a meeting invitation and proposing a new time for a meeting. Finally, we’ll look at how to open other calendars and the advanced view settings.

Module 9 : Working with Contacts and Contact Groups

Outlook has some great tools for working with contacts and contact groups. This module will show you how to customize a contact’s business card, which can really provide impact if you are including it in messages or sharing it in other ways. We’ll also learn how to forward a contact. Then, we’ll get into contact groups. You’ll learn how to create a contact group and manage its members, as well as how to send an email or meeting invitation to the group, how to forward the contact group, and how to view its properties.

Module 10 : Working with Tasks

In this module, we’ll take a closer look at tasks and the journal in Outlook 2013. First, we’ll look at task details, where you can track several pieces of information related to a task. You’ll also learn how to send a status report. You can move or copy a task to another folder to help with organizing your tasks. When someone assigns you a task, you can accept or decline it. This module explains how to save the current task view to use in other folders or just to apply later. Finally, we’ll cover two items related to the journal – how to automatically record entries and files, and how to edit a journal entry.

Conclusion : Wrapping Up
